Policies store coverage details for a client or lead in Agent Book CRM.
Use policies to track active, approved, pending, replaced, or terminated coverage records.
Add a policy from a client profile #
- Open Agent Book CRM.
- Go to Clients.
- Open the client profile.
- Find the Policies section.
- Select Add Policy.
- Choose the coverage type.
- Enter the policy details.
- Save the policy.
Common policy fields #
Policy details can include:
- Status
- Carrier
- Plan name
- Plan ID
- Policy number
- Enrollment code
- Premium
- Application date
- Effective date
- Renewal date
- Enrollment period
- Coverage type
- Plan type, when applicable
Plan name and Plan ID #
For some coverage types, such as PDP and MAPD, you can enter both a plan name and a plan ID.
Example:
- Plan Name: Wellcare Value Script
- Plan ID: S4802-133
Policy number and enrollment code #
The policy number should be used for the carrier-issued policy or member number.
The enrollment code can be used to store an application, enrollment, or confirmation code when one is available.
Application date and effective date #
Use the application date for the date the application was submitted.
Use the effective date for the date the coverage begins.
Enrollment period #
For Medicare-related coverage, use the enrollment period field to track the enrollment reason, such as:
- IEP
- ICEP
- OEP
- AEP
- SEP
- Open Enrollment
- Guaranteed Issue
Edit a policy #
To edit a policy:
- Open the client profile.
- Find the policy in the Policies section.
- Open the policy.
- Update the needed fields.
- Save the changes.
Policy status #
Policy status helps your agency understand where the policy stands.
Common examples include:
- Active
- Approved
- Pending
- Replaced
- Terminated
Use the status that best reflects the current policy stage.
