Custom fields let your agency add account-wide fields to Agent Book CRM.
Use custom fields when your agency needs to track information that is not included in the standard CRM fields.
Where custom fields can appear #
When you create a custom field, you choose where the field should appear.
Custom fields can be shown on:
- Leads
- Clients
- Opportunities
- Policies
You can choose one area or multiple areas for the same custom field.
For example, a field called Medicaid Status could appear on both leads and clients. A field called Underwriting Notes may only appear on opportunities or policies.
Open Custom Fields #
- Open Agent Book CRM.
- Go to Settings.
- Open Data & Customization.
- Select Custom Fields.
This opens the Custom Fields page.
Add a custom field #
- Select Add Custom Field.
- Enter the Field Label.
- Choose the Field Type.
- Enter the Display Order.
- Choose the Status.
- Select where the field should appear.
- Add dropdown options if the field type is Dropdown.
- Select Add Custom Field.
Field label #
The Field Label is the name users will see inside the CRM.
Examples:
- Medicaid Status
- Preferred Pharmacy
- PCP Name
- Referral Partner
- Renewal Review Date
- County
- Existing Carrier
Use clear names that your team will understand.
Field type #
Agent Book CRM currently supports these custom field types:
- Text
- Date
- Dropdown
Use Text for general information.
Use Date for dates such as renewal review dates, follow-up dates, or application-related dates.
Use Dropdown when users should select from a fixed list of choices.
Dropdown options #
Dropdown fields require at least one option.
Enter one option per line.
Example:
Medicaid Status
- Unknown
- Yes
- No
- Pending
Dropdown fields help keep your data clean because users select from the same list instead of typing different versions of the same answer.
Display order #
Display Order controls the order custom fields appear in the CRM.
Lower numbers appear earlier than higher numbers.
For example:
- 1 appears before 2
- 10 appears before 20
Use display order to keep the most important fields near the top.
Status #
A custom field can be Active or Inactive.
Use Active when the field should be available in the CRM.
Use Inactive when you no longer want users to use the field but do not want to delete it yet.
Show this field on #
Use the Show This Field On section to choose where the custom field appears.
Available options are:
- Leads
- Clients
- Opportunities
- Policies
You must select at least one area before saving the field.
Edit a custom field #
To edit a custom field:
- Go to Settings.
- Open Data & Customization.
- Select Custom Fields.
- Find the field in the Custom Field Library.
- Select Edit.
- Make your changes.
- Select Save Custom Field.
Delete a custom field #
To delete a custom field:
- Go to the Custom Field Library.
- Find the field.
- Select Delete.
- Confirm the deletion.
Deleting a custom field removes the field and its stored values.
Only delete a custom field when your agency no longer needs the field or the data stored in it.
Custom Field Library #
The Custom Field Library shows the fields your agency has created.
The library includes:
- Field name
- Field key
- Type
- Applies To
- Status
- Actions
Use the library to review, edit, or delete existing custom fields.

Use custom fields carefully so your CRM stays clean and easy to use.
Best practices include:
- Use clear field names.
- Avoid duplicate fields.
- Use dropdowns when possible.
- Keep the most important fields near the top.
- Make inactive fields instead of deleting them when you are unsure.
- Review custom fields regularly.
- Delete fields only when the data is no longer needed.
